Enhanced Email Builder: Automatic Campaigns

Automatic Campaigns are emails with an event and time-based trigger. Automatic campaigns are ongoing and accounts are not emailed in bulk, but rather individually as they satisfy the filters. These campaigns remain active until deactivated by the club.

To create an automatic campaign, hover over the Marketing icon on your navigation bar and select Automatic Campaigns.

Next, click +ADD AUTOMATIC CAMPAIGN on the top right side of the page.

Automatic Campaigns are composed in four stages:

(1) Setup, (2) Recipients, (3) Content, and (4) Send.

(1) Setup

The Setup page assists in establishing the campaign’s basic intentions, such as when and how the email will be delivered to the determined targeted audience.

(A) Name: The campaign’s title. This is for the club’s records and will not be seen by the campaign’s recipients.

(B) Subject Line: The text that will appear in the email’s subject line as seen in the recipient’s inbox.

(C) Add Dynamic Content: These tags populate unique information per each individual email recipient.

            EX: 'First Name' or 'Location Twitter'

(D) Campaign Type: The type of campaign to be sent. The selected campaign type determines the event or condition that triggers the campaign to begin. Select the 'Campaign Type' drop-down menu and choose from the available campaign types.

The available campaign types are as follows, options may vary based on your membership management system:

  • Status Drip: A campaign triggered by a change in status for a prospect or member.
    • Example: A member's status switches from 'Active' to 'Inactive Member Expired', which triggers a campaign encouraging the member to renew their membership.
  • Product Drip: A campaign triggered by a member purchasing one or more select products from the club.
    • Example: A member purchases a group class, which triggers a campaign offering the member PT training with the trainer who leads their group class.
    • Note: If 'Product Drip' is selected, then an additional option will appear underneath the 'Sends' button. The 'Send after first purchase only' option prevents the same member from being contacted multiple times if they repurchase a product. Click the small white box to select this option.
  • No Check-In Drip: A campaign triggered by a set number of days passing since a member's last checked-in to the club. If this option is selected, users can customize the triggering number of days in the 'Sends' section. Enter the desired amount of days without a check-in directly into the white box.
  • Member Join Response: A campaign triggered by a new member joining the club. Users can customize a welcome email that sends immediately once the member joins.

Note: Automatic member emails can not be issued if the location is currently in pre-sale.

  • New Prospect Response: A campaign triggered by a new prospect added to the system from an external source. That's not a direct add, but rather an external add.
  • Birthday: A campaign triggered by members' birthdays. Users can customize a birthday email from the club that sends 8:15 a.m. on the member's birthday. Note: For a Prospect or Member to qualify for this campaign, a birthdate must be saved within their campaign.
    Example: "Happy birthday, {{recipients-first}}! Everyone at {{location-name}} would love to talk to you about ways to make this the healthiest and happiest year yet!"
  • Successful Referral Drip: A campaign sent to a member who referred a friend to the club and they signed up for a membership.
    Example: "Thanks, John! Karen McClusky just joined the club thanks to your referral!"

(E) Sends: The time-based trigger in which the email’s delivery is set to occur.

                EX: Status Drip campaigns are sent after a recipient becomes a certain status. For example, when a new lead is added or a guest pass expires. Enter the desired number of days you would like the email to be delivered after the status change. Automatic campaigns cannot be sent at Day "0".

(F) Send From: The 'Send From' drop-down menu enables users to assign who the recipients see as the sender of the email. Check out this article for more information on setting up your 'Send From' options and what they mean.

Once you have completed the necessary fields on the Setup Page, click “Next” in the bottom right of the page to continue.

(2) Recipients

The Recipients page allows club staff to segment their audiences by specific criteria.

The Recipients page consists of two sections:

  1. Target Audience: Here, users can select which Prospect or Member status(es) they wish to send their campaign email to.

  • The 'Target Audience' options are as follows:
    • All Prospects: Email recipients will include every prospect for the club.
    • Select Prospects: This option provides additional filters to narrow which prospects are included in the recipients' list based on their current statuses.
    • All Active Members: Email recipients will include every active member in the club.
    • Select Active Members - Membership: This option provides additional filters to narrow which active members are included in the recipients' list based on their current statuses.
    • Select Active Members - PT: This option provides additional filters to narrow which active members with PT are included in the recipients' list based on their current statuses.
    • All Inactive Members: Email recipients will be every inactive member in the club.
    • Select Inactive Members: This option provides additional filters to narrow which inactive members are included in the recipients' list based on their current statuses.

Once you have selected your target audience, you may see a date range filter available for use if needed. This filter offers the user an option to drill down to a more specified audience by date range. The additional date range filters can differ from Prospect to Member.

Check In Filter: For Member Campaigns, depending on the Member Management System integration, a check-in filter may be displayed that will target recipients based on their check in history. 

Re-target Option:When setting the target audience criteria, you can select if you'd like each unique recipient to receive the campaign each time they meet the criteria or only the first time. This can be helpful for when you only want prospects to receive a free guest pass once or for member onboarding communication.

  • For prospect campaigns, an option to "Only Send to Unique Prospects Once" is available
  • For member campaigns, an option for "Only send to members once per membership agreement" is available

If a "Select" option is chosen, a drop box will appear to select a particular group of that audience.

2. Filters: These aid users in further specifying the exact audience for which the campaign is intended.

Filters include:

Locations: Allows the user to specify the location whose Prospects/Members will be receiving the campaign email. The user will only be able to view and assign locations based on their enabled permissions.

Gender: Allows users to specify which gender category will receive the campaign email. This filter will appear for all Prospect and Member statuses.

Age Range: Allows users to specify the range in which a Prospect/Member’s age must fall in order to receive the campaign email. This filter will appear for all Prospect and Member statuses.  

Note: This is filter is generated from the birthdate within the prospect/member's account. If an account does not have a birthdate included, that prospect/member will be excluded from the campaign.

By clicking the filter’s side arrow, the following ‘Min’ and ‘Max Age’ fields will appear:

Origins: Segment your recipient's by origin.  The Origin is how a prospect initially entered the system.

Marketing Sources: Allows users to specify the source through which a Prospect/Member heard about the club. Check the appropriate boxes.

Interests: Segment your recipients by the Interests that they disclosed while visiting the club.

Employers: Allows the user to specify the place of employment that a Prospect/Member cited in their profile.

Payment Method: Allows the user to specify the payment method with which the Prospect/Member paid.  

Note: This filter is only for clubs that utilize ABC as their billing provider.

Once you have completed the necessary fields on the Setup Page, click “Next” in the bottom right of the page to continue.

(3) Content

Select the template you wish to use in your campaign on the Content Page. You can choose a stock template to or scroll down to Saved Templates to choose a template you have previously created in your Email Builder Editor.

Once you have selected your template, click "NEXT" at the bottom right of the page.

(4) Send

The Send page is the final stage of the Blast Campaign building process. Here, the user can test out the campaign’s email and observe the size of its expected recipient audience before officially launching the campaign.

The Approximate Recipient Counter displays the estimated total of recipients that currently qualify to receive the campaign email with the selected filters. 

Note: This is an approximate number calculated based on filter matches and does not reflect those accounts that have opted out or do not have email addresses. 

Click "PREVIEW RECIPIENTS" to receive an emailed report that lists each expected recipient. Checking this list will aid staff in verifying that their campaign’s filters are set as expected.

Click "SEND TEST EMAIL" to issue an exact replica of the campaign email to any specified email account. Upon its arrival, open the test email to verify whether or not its appearance meets the user expectations. Once you have seen your test and it meets your approval, you are ready to send your campaign. 

After the test email has been sent, you will see the "MAKE ACTIVE" button appear. Click it to activate the campaign to send on the scheduled date.

To confirm an automatic campaign is active, and to see all active automatic campaigns, go back to the Automatic Campaign Page.

Here, you can see the details of your campaigns such as active or inactive, as well as approximate recipients.
