Club OS offers club staff the opportunity to both build and sell PT Packages. By selling PT Packages, both Salespersons and Trainers can accrue commission as Members integrate further with the club. Selling PT Packages is a three-step process. This article, Finalizing the Package, is Step 3. For other steps, click one of the links below. (For steps on how to create PT Packages, click here.)
Step 1: Selecting the Package
Step 2: Editing the Package
Step 3: Finalizing the Package
After the editing of a package is complete, the Member is then required to review and approve multiple contracts and establish their Payment Profile. For the sake of clarity, each task has been listed in sequential order below. Click a link to jump ahead to its corresponding section. Otherwise, read the article in its entirety.
- Package Summary
- Scheduled Payments
- Payment Profile
- Agreement Terms and Conditions
- Member’s Right to Cancel
- Authorization for Preauthorized Payments
- Authorization for Auto Renew - Term
- Authorization for Auto Renew - Open
- Age Verification
1. Package Summary
The 'Package Summary' section displays the package's details such as dates, duration, and pricing. This data was previously visible (and, in some instances, adjustable) while setting up the Member's package.
2. Scheduled Payments
The 'Schedule Payments' section displays each invoice that is scheduled to generate and be paid throughout the course of the package's duration. In addition to each payment's due date, this section also exhibits each invoice's current total and possible, previously-established credit.
When calculating taxes added, Club OS uses ceiling rounding, which means that an amount like $2.344 will be rounded up to $2.35.
3. Payment Profile
The 'Payment Profile' determines the method through which the Member will pay each invoice.
Three methods of payment are possible:
-
Cash/Check - Invoices are paid in-person at the club location.
-
Credit Card - Invoices are paid via drafts from the Member's credit card.
-
Checking/Savings - Invoices are paid via drafts from either the Member's checking or savings account.
Note: By selecting 'Cash/Check', a Member is not prohibited from paying invoices via credit or debit payments so long as the club is equipped with a credit card terminal. Rather, the label 'Cash/Check' signifies that the Member is paying their invoice in-person, within the club's physical location.
Have the Member pick their preferred payment method for, first, their Down Payment and then their Recurring Payment. (Note: By default, Club OS will already offer the Member the Cash/Check option. If the Member wishes to set up a profile for payment via Credit Card or Checking/Savings, click here.) Next, match the Member's request(s) by selecting their decided method from each drop-down menu.
Note: If, in editing the package, the Down Payment was set to '0', then no Down Payment menu will appear.
4. Agreement Terms and Conditions
The 'Agreement Terms and Conditions' covers liability. No Member is permitted to partake in using a service without first complying to a club's Terms and Conditions.
Have the Member review the text. Afterwards, ask them to sign within the 'Signature' field. Here, the cursor will turn into crosshairs to aid in facilitating a digital signature.
Note: If a Member requests to re-sign their signature, clicking 'Clear' will empty the field.
5. Member's Right to Cancel
The 'Member's Right to Cancel' protects the Member's right to withdraw from a purchase (while also honoring any damage afflicted to the seller/club).
Have the Member review the text. Afterwards, ask them to initial within the 'Initial' field. Here, the cursor will turn into crosshairs to aid in facilitating a digital signature.
Note: If a Member requests to re-sign their signature, clicking 'Clear' will empty the field.
The 'Authorization for Preauthorized Payments' grants a club the right to draft recurring payments via the Member's credit card or checking/savings account. If the Member does not seek to establish recurring payments, they may skip this step. (Note: This term will only appear if the Member's package is not free and contains, either, scheduled payments or an auto-renew.)
Have the Member review the text. Afterwards, ask them to initial within the 'Initial' field. Here, the cursor will turn into crosshairs to aid in facilitating a digital signature.
Note: If a Member requests to re-initial, clicking 'Clear' will empty the field.
7. Authorization for Auto Renew - Term
The 'Authorization for Auto Renew - Term' grants the club the right to automatically renew the member's agreement for the identical term length once the original agreement expires. This term will only be displayed for review if the Member chooses this option during package setup.

8. Authorization for Auto Renew - Open
The 'Authorization for Auto Renew - Open' grants the club the right to automatically renew the member's agreement on a per-bill-cycle basis once the original agreement expires. The agreement will continue to renew each bill cycle until the agreement is canceled. This term will only be displayed for review if the Member chooses this option during package setup.
Have the Member review the text. Afterwards, ask them to initial within the 'Initial' field. Here, the cursor will turn into crosshairs to aid in facilitating a digital signature.

9. Age Verification
The 'Age Verification' allows clubs to attach any age-related text to a package and necessitates a full signature of, either, the purchasing Member or that of a parent/guardian. This term will only be displayed for review if the Member elects to incorporate it amongst their other terms.
Have the Member review the text. Afterwards, ask them to supply a full signature within the 'Signature' field. Here, the cursor will turn into crosshairs to aid in facilitating a digital signature.
