Club OS allows authorized staff to, both, set and edit the date in which a Member requests that their package terminate prematurely. Cancellation dates assist Members who find themselves needing to cut back on club activity for such unforeseen reasons as unavailability, insufficient funds, etc.
Although the acts of setting and editing a cancellation date do resemble each other closely, their qualifications and workflows can differ -as displayed below.
Agreements With No Prior Cancellation Date Set
First, navigate to the Member's Club Services page.
Enter the Member's package and select 'Create Agreement Cancellation' from within the Agreement Actions drop-down box located in the top-right corner of the screen.
Click the 'Cancellation Date' field and select a date from the pop-up window.
Next, if the package contains a cancellation fee, select the point at which the Member would prefer to pay that fee: now or upon the package's cancellation date.
Note: If the Member elects to pay the fee now, Club OS can permit that Member to pay their fee using an alternative payment profile than the one currently funding their package's invoices. However, if the Member opts to pay the fee on the future cancellation date, that Member will be required to pay via whichever payment profile is currently in use. To edit a package's payment profile, refer to the original agreement.
Lastly, if the Member's package contains a cancellation fee, check the required Authorize Cancellation box.
Upon completion, click 'Save'.
Note: Canceling a package will, neither, refund a Member's remaining sessions nor remove payments that are associated with the Member's agreement.
Agreements With a Prior Cancellation Date Set
First, navigate to the Member's Club Services page.
Enter the Member's package and select 'Edit Agreement Cancellation' from within the Agreement Actions drop-down box located in the top-right corner of the screen.
As a result, staff will be redirected to one of two possible landing pages based on whether the Member's package contains a 'per bill cycle' cancellation fee, a 'flat rate' cancellation fee, or no cancellation fee at all. Each page and its editing options are detailed below.
A. If the Agreement Contains a 'Per Bill Cycle' Cancellation Fee
Authorized staff will not be allowed to edit the cancellation date, themselves.
B. If the Agreement Contains, Either, a 'Flat Rate' Cancellation Fee or No Cancellation Fee at All
Authorized staff will only be allowed to edit the cancellation date.
Upon clicking 'Save', a banner will appear stating that the cancellation's update was successful.
Each post-cancellation draft date will now be, either, stricken or readministered into the Member's payment schedule depending on whether the Member's pre-cancellation period was just shortened or extended.
C. If You Need to Reduce or Waive a cancellation fee
If there is a cancellation fee associated with the agreement but you would like to reduce or waive the amount that the member would need to pay for cancelling their agreement, you can make these changes by selecting the 'Edit Detail’ button.
If you are adjusting the fee amount that you could like the member to pay, you can either use the up and down arrows to toggle the fee amount that will be applied based on the Fee Type. Once this is updated, you will simply click ‘Done’ to update the cancellation fee.
However, if you do not want to charge the member a cancellation fee, you can select the checkbox under the ‘Waive’ column and this will zero-out the amount that the member would be due to pay when they cancel their training agreement. Once the option is selected, you’ll click ‘Done.'
